Data request certification for employee census data

Do any of you all require that the trustee or whoever prepares census data for your clients sign some sort of certification? Namely, to certify that this information is correct, complete and accurate to thier knowledge and this is the information to be used in preparing the annual administration.

If so, what disclaimers or languange do you use?

I give up. What kind of census data and for what type of plan(s)?

Used for what purpose?

We can prepare our own census data for all plans in house.

Our actuarial census data is prepared by our actuary for the pension plan in his annual statement.

I'm not totally sure what census data you mean, but I'm guessing it's to give to insurance carriers to figure out your rates. If I'm right, then I'm guessing you either have a TPA or someone not in your organization preparing this info. There should probably be something set up in the contract you have with this person or company acknowledging overall performance. And if you don't feel this person is doing a good job, find someone else that can help you.

Our pension software prints the following above the line for the employer's signature on the census data form:

Confidential information has been compiled from our records and is complete and accurate to the best of our knowledge

Whoever sends in the year end data has to sign verfiying the correctness of all of the data provided.

We also have the following statement print on each page of our census verification the client recieves as part of the year end allocation report:

If any infomation is either missing or incorrect, please advise us at once. Thank you.

I am a bit bothered (confused) by the statement above

"Our actuarial census data is prepared by our actuary for the pension plan in his annual statement."

I would never prepare a census. How could I since we don't have it. We always prepare a summary of the data as an adjunct to preparing our actuarial valuation report, but that is after the fact. Sometimes the auditor might use this, but not always. However, the employee census data is the responsibility of the plan sponsor.
